 Client Money Policy

1. Definition of Client Money "Client Money" refers to any funds held by the firm on behalf of a client, including Home Office application fees, Immigration Health Surcharge (IHS) fees, or payments for services not yet rendered.

2. Our "No Client Money" Policy To ensure the highest level of financial integrity and compliance with Principle 8, Romani in UK Advisors Ltd does not hold "Client Money."

3. Handling Home Office and Third-Party Fees

  • Direct Payment: We do not accept payments for Home Office fees or the Immigration Health Surcharge (IHS) into our business account.
  • Process: During the application submission, the client must provide their own debit/credit card details to pay the Home Office directly through the official GOV.UK portal.
  • Disbursements: If a client needs a third-party service (such as a certified translation), they are required to pay that provider directly.

4. Payment for Professional Services

  • Fixed Fees: We only accept payment for our professional legal services as outlined in our Fee Scale.
  • Invoicing: A formal invoice is issued for every payment received.
  • Timing: We only request the final balance of our fee once the work (e.g., the submission of the application) has been completed.

5. Accounting Records All payments for our services are made via bank transfer to our Business Bank Account. We maintain a clear digital audit trail of all transactions, which is available for inspection by the IAA Commissioner upon request.

3. Our Process

  • Step 1 (Acknowledgment): We will send you a letter or email acknowledging your complaint within 5 working days of receiving it. We will also enclose a copy of this procedure.
  • Step 2 (Investigation): Anca Radoi will review your file and speak to the advisor who handled your case.
  • Step 3 (Response): We will send you a detailed written reply to your complaint, including our suggestions for resolving the matter, within 28 days of the acknowledgment letter.

4. If You Are Still Not Satisfied If you are not satisfied with our final response, or if we fail to respond within 28 days, you have the right to complain directly to the Immigration Advice Authority (IAA).
